Artwork Requirements

Pole Banner Systems — Print File Submission Guide

After placing your order, submit your artwork by email to receive your banners in production as quickly as possible. Review the requirements below before sending your files.

Orders will not move into production until artwork has been received and reviewed.

How to Submit Your Artwork

Email your print-ready files to:

Include your order number in the subject line.

Example subject line:

We will confirm receipt within one business day and notify you if any issues are found with your files before production begins.

Preferred File Formats

Send files in one of the following formats for fastest processing:

  • Vector PDF — print-ready, all fonts outlined
  • Adobe Illustrator (.ai) — with all linked files and fonts included
  • EPS — all fonts outlined

These formats preserve artwork quality at larger sizes and are typically the fastest to review for production.

Accepted for Review

The following formats are accepted for review but are not guaranteed to proceed to production without revision:

  • PNG — accepted if minimum resolution requirements are met; subject to quality review
  • TIFF — accepted if minimum resolution requirements are met; subject to quality review

If your PNG or TIFF file does not meet resolution requirements, we will contact you to request a corrected file before your order proceeds.

Resolution Requirements

File Type Minimum Resolution
Raster images — PNG, TIFF 150 DPI at full output size
Preferred resolution 300 DPI at full output size
Vector files — PDF, AI, EPS Resolution-independent

Files submitted below 150 DPI at full output size will not be accepted for production.

Colour Mode

All files should be set up in CMYK colour mode before submission.

RGB files will be converted to CMYK during preflight. Colour shifts can occur during conversion, particularly with blues, greens, and oranges. We are not responsible for colour variation resulting from RGB-to-CMYK conversion on customer-supplied files.

If accurate colour matching is important to your program, submit CMYK files.

Bleed

Include 0.25" bleed on all four sides of your artwork.

Your finished banner size is the trim size. Extend all background colours and edge elements 0.25" beyond the trim edge so no white border appears after finishing.

Safe Area

Keep all critical content — text, logos, and key design elements — at least 0.5" inside the trim edge on all sides.

Content placed too close to the edge may be partially obscured by the hem or finishing process.

Pole Pockets

Do not include pole pockets in your artwork file.

Pole pockets are finished into the banner during production. Your artwork file should represent the full printable face of the banner at the finished size, with bleed added beyond.

If your file includes pre-drawn pole pockets, we will contact you before proceeding.

File Size and Delivery

Large files are expected and acceptable. If your file exceeds 25 MB, use a file transfer service such as WeTransfer, Dropbox, or Google Drive and include the share link in your email.

Do not compress or flatten files in a way that reduces quality.

What Happens If Artwork Is Not Print-Ready

If your submitted files do not meet production requirements, we will contact you by email with specific feedback. Your order will be held until a corrected file is received.

Common reasons files are sent back for revision:

  • Resolution below 150 DPI at full size
  • RGB colour mode without client acknowledgment
  • Missing bleed
  • Fonts not outlined in vector files
  • File format not supported

Artwork correction, file recreation, and design services are not included with standard online product orders.

Quick Reference Checklist

Before emailing your files, confirm the following:

  • File format is vector PDF, AI, or EPS — or raster at 300 DPI
  • Colour mode is CMYK
  • 0.25" bleed added on all four sides
  • Critical content is 0.5" inside the trim edge
  • Pole pockets are not drawn into the artwork
  • Order number is in the email subject line
  • File is sent to artwork@polebannersystems.com
